We request a limit of two dogs per room with a $70 non-refundable fee per stay. We do not have weight or breed restrictions. Prior authorization for dog(s) must be requested prior to arrival. Dog owners remain responsible for the actions of their pets regarding clean-up, noise, damage, and safety to guests and employees. All dogs must be on a leash.

At our at our Flagstaff inn, we strive to provide our guests with an exceptionally clean, safe, and friendly hotel experience. The following Hotel Policy/House Rules have been established based on industry standards, management and operational procedures, and our personal experience of owning and operating the Bespoke Inn Flagstaff. These Hotel Policy/House Rules are considered a part of our reservation agreement with you. As our hotel guest, by reading and accepting this registration you are agreeing to abide by all of our Hotel Policy/House Rules, terms and conditions, and procedures. These Hotel Policy/House Rules are presented here to help promote our guests’ safety and enjoyment and to ensure that each guest is aware of the understandings between The Bespoke Inn Flagstaff and the guest. Our Hotel Policy/House Rules may change from time to time, so please check back often.

Food & Beverage

In-room Beverages – Complimentary Pour-over coffee and tea are available in each guest room along with still and sparkling water.
Lobby – Complimentary snacks, sparking water, coffee and espresso.

Free Wi-Fi Access

With three separate connections, there is free Wi-Fi available anywhere on the property for our registered guests. The hotel Wi-Fi access code is subject to change without notice. WiFi signals are subject to change without notice depending on the room’s location, the status of our Wi-Fi equipment, and interference from other local wireless signals. Bespoke Inn Flagstaff assumes no liability for guest use.

Pet Policy

For the safety of your pet and our staff we are unable to provide housekeeping service if your dog(s) are left in the room.

 

Smoking & Alcohol


Smoking Policy

Smoking is only permitted in designated areas. These areas are clearly marked and are located outside of the hotel building. There is no smoking/vaping anywhere inside Bespoke Inn Flagstaff or under any of the porches. Any guest violating the non-smoking policy will be billed an additional $500 per night for clean up costs to the room. Burning incense and/or candles is also forbidden anywhere on property and will incur the same fine. For safety and to assure that our facility is not exposed to items or actions that create an odor which is unhealthy and objectionable to our guests and staff, and that is difficult to remove from the air, carpet, walls, and furniture we do not permit smoking tobacco, marijuana, illegal drugs, e-cigarettes, vape pens, vaping, cartridges containing the liquid of nicotine, hookahs, incense, cigars, or candle burning in our facility.

Alcohol Policy

Registered guests of legal age who choose to bring their own alcoholic beverages must consume those in their room. Alcohol consumed during special events must be served by a licensed caterer with permits for the sale & service of alcohol. Thus, is restricted to those 21 years old or older (valid photo identification required) and can only be consumed at that event venue.

 

Parking & Transportation


Transportation

Bespoke Inn Flagstaff does not provide airport transportation. However, there are several taxi and sedan services available at the airport on a 24-hour basis to provide you with transportation to and from the Inn for approximately $25/one way. There are numerous restaurants, shops and galleries are all within walking distance.

Parking Policy

Parking for registered guest(s) is free and one spot is included per room reservation. All vehicles are parked at the risk of the owner. Bespoke Inn Flagstaff shall not assume liability or responsibility for any vehicle, occupants, or contents while operated or parked on the hotel property. If a vehicle is left in the hotel parking lot after the guest has departed without the written consent of the hotel, the hotel reserves the right to have the vehicle towed at the owner’s expense. No vehicle repairs on hotel premises. Please note oversized vehicles and/or towing a trailer cannot fit in our lot, please contact us at 928-981-4095 to make other accommodations.

Early Check-in

Early check-in is offered based on availability. If you require a guaranteed check-in for arrival prior to 3 p.m. then payment may be required. Please contact Bespoke Inn Flagstaff staff directly to make reservations and complete a credit card authorization form prior to your arrival (844) 259-7766.

Check-in Requirements

Guests must be at least 21 years of age to check in at Bespoke Inn Flagstaff. In the interest of security and to prevent fraud, guests are required to confirm their identity by providing their valid government issued photo identification (state driver’s license, passport, etc.) upon request. A valid, signed, and pre-approved credit card in the name of the guest registration is also required. It is your responsibility to fully understand the way your bank processes pre-authorizations and charges to your credit/debit card. Some banks hold pending authorizations for up to 30 business days.

Check-out Procedure

Check-out time is 11 a.m. If you require a later check-out, please contact the office prior to the day of your departure and we will do our best to accommodate your request. A charge may apply for late check-out.

Guest Registration

We require valid contact information from the guest making the reservations including first and last name, address, phone number, and signature. The names of all guests occupying the room must be registered.

 

Reservations


Guaranteed Reservations

All reservations must be guaranteed with a valid major credit card. Guests must be 21 years and older. We accept Visa, Master Card, American Express, and Discover Card. We do not charge your credit card at the time you make your reservations. Your credit card guarantees your reservations. Please make sure to receive a reservation confirmation number when you make a reservation.

Specials Requests

All special requests are noted on reservations and we will do our best to accommodate. However, the availability of these items cannot always be guaranteed in advance.

Room Exchange

We reserve the right to exchange the room you reserved with one of equal or greater value. With just a few rooms, it is sometimes necessary to switch guests from one to another to accommodate various bookings.

Rates & Payments


Credit Card Guarantee

All reservations and registration must be guaranteed with a valid major credit card. We accept Visa, Master Card, American Express, and Discover Card. Pursuant to credit card agreements, credit cards are not valid unless signed by the cardholder. Credit cards must be signed. Cash, checks and foreign currency are not accepted.

Checks and Check Cashing

We do not accept checks. We do not provide check cashing services.

Debit Card/Credit Card Holders

Your Debit or Credit Card will be pre-authorized prior to check-in for the full amount of your stay. The pre-authorization will HOLD the funds until the day of the cancellation date. At 72 hours prior to arrival your Debit or Credit Card will be charged for the full amount of the stay. If you change your method of payment at check-out or change the length of your stay, your bank may not post the changes to your account immediately. Bespoke Inn Flagstaff has no control over the policies of your bank and will not be held liable for any “insufficient funds” penalties or any other resulting fees or charges. It is your responsibility to fully understand the way your bank processes pre-authorizations and charges to your debit or credit card. Some banks hold pending authorizations for up to 30 days.

Guarantees & Deposits

For non-refundable bookings, a deposit of 100% of the total cost will be charged at the time of booking. For all reservations, a major credit card is required at the time of booking to guarantee the room and secure the reservation period. We accept Visa, Mastercard, Discover and American Express.

Reservation and Payment for Guests by Private Third Parties

Generally, third party payment is not permitted. In the case of paying for a family member if you will not be physically present at the hotel, we require prior completion and approval of a Credit Card Authorization form including a copy of your driver’s license and the front and back of your signed credit card. You will be responsible for all damages and loss. We reserve the right to refuse reservation at any time for any reason.

Credit Card Authorization by Corporate Third Parties

Please contact Bespoke Inn Flagstaff’s reservations department at least 24 hours prior to guest’s arrival to request a Credit Card Authorization form. Reservations can be reached between 8am and 8pm daily. (844) 259-7766

Gift Certificates & Prepaid Bookings

Please contact the hotel directly to purchase or redeem gift certificates (844) 259-7766. Unless the transaction takes place directly at the hotel, Pre-Paid Bookings require a Credit Card Authorization form to be completed and sent to the hotel at info@bespokeinnflagstaff.com. This form is available by calling the hotel directly at (844) 259-7766.

Rates

All rates are quoted in United States currency, plus tax. Rates may increase without notice. Rates as advertised on the Bespoke Inn website or any other website or promotional material are subject to change at any time and may increase or decrease at the hotel’s discretion.

Cancellation Policies


Cancellation

The Bespoke Inn Flagstaff is not responsible for weather conditions, personal emergencies, and/or schedule changes. Reservations must be cancelled seventy two (72 hours) hotel time, prior to your arrival date, in order to avoid a charge for the full stay cancellation fee. If reservations are cancelled less than 72 hours before the arrival date, your credit card will be charged the full room charge plus taxes. If you cancel any reservation, you must obtain and save the cancellation number for your records.  Reservations made with Non-Refundable rates are non-cancelable and non-refundable and pre-paid at the time of reservation.

Reservation Cancellation Policies 1 to 5 Night Stays

Your reservation is secured with your credit card. We accept Visa, Mastercard, Discover and American Express. If a cancellation is received within 72 hours of arrival date, the full dollar amount of the reservation is non refundable. Any unpaid balance will be charged to the credit card on file anytime between check-in and 72 hours before check-in.  Reservations made with Non-Refundable rates are non-cancelable and non-refundable and pre-paid at the time of reservation.

Reservation Cancellation Policies for Stays of 5 Nights or More

For reservations with five or more total room nights reserved, (this includes reserving more than one room) cancellations must be received 30 days in advance of arrival date to receive the deposit refund less a 10% cancellation fee of the total reservation amount. The full amount of a reservation of five or more reserved nights will be charged in full 30 days before arrival date and becomes non-refundable. If you are not sure of your plans, call us to discuss options. A full charge for the entire stay will be incurred for early departure or no show.  Reservations made with Non-Refundable rates are non-cancelable and non-refundable and pre-paid at the time of reservation.

Reservation Cancellation Policies – Non-Refundable Bookings

All reservations booked under a non-refundable discounted rate are non-refundable. This means that once the reservation is made and the payment is processed, no refunds will be issued for any reason, including but not limited to changes in travel plans, cancellations, or early departures. Payment in full will be processed within 24 hours of booking a non-refundable rate reservation. If payment is declined or deemed invalid, we will need a new form of payment within 24 hours, or the reservation will be cancelled.

No-Show Charges

Failure to check in on the scheduled arrival date for a reservation guaranteed with a credit card will result in a No-show fee being charged to your credit card. You will be charged the full amount of the reservation plus taxes.

Right to Refuse Service

The Bespoke Inn Flagstaff is privately owned and operated. We reserve the right to refuse service to anyone for any reason(s) that does not violate Federal or State laws. The Bespoke Inn Flagstaff has a zero-tolerance policy in which we will refuse to admit or refuse service or accommodation in our hotel or may remove a person, without refund, who refuses to abide by the reasonable standards and policies established by the State of Arizona and the owners for the operation and management of the hotel. The Bespoke Inn will refuse service or evict a guest: for refusal or failure to pay for accommodations, is under the influence of alcohol, drugs, or any other intoxicating substance and acts in a disorderly fashion as to disturb the peace of other guests or is not in compliance with state liquor laws; acts in a disorderly fashion as to disturb the peace of other guests; is unable to properly supervise their children at all times, seeks to use the hotel for an unlawful purpose; seeks to bring into the hotel: an unlawfully possessed firearm; or something, including an explosive or hazardous or toxic substance, that is unlawful to possess and that may be dangerous to other persons; destroys, damages, defaces, or threatens harm to hotel property or guests; causes or permits persons to exceed the maximum allowable occupancy of room, refuses to abide by the reasonable standards or policies established by The Bespoke Inn Flagstaff for the operation and management of our hotel

Housekeeping & Services


Do Not Disturb and Access to Rooms

To provide all our guests with an exceptionally clean and safe hotel experience, we provide daily housekeeping. Our Housekeeping Staff will honor the “Do Not Disturb” door hanger once during a twelve-hour period indicating that the room is occupied. The Housekeeping Staff is required to enter the room at subsequent times to clean the room, check for safety, and verify the condition of the room. Management reserves the right to enter a room with a known status of “Do Not Disturb” for reasonable purposes, such as an emergency, housekeeping, maintenance, verify that the room, its furnishings, and mechanical equipment are intact, or to address or prevent a violation of our Hotel Policy/House Rules. In the event of suspected illegal activity, management reserves the right to summon law enforcement to aid in eviction. The right to privacy ends when a Hotel Policy/House Rule is broken. Law enforcement will be granted immediate access to hotel property and rooms of evicted guests.

Housekeeping/Room Inspection

Housekeeping is provided daily between the hours of 9 a.m.-2 p.m. Housekeeping may start as early as 8 a.m. This is a 100% NON-SMOKING hotel, including medical marijuana. Rooms are cleaned and inspected daily, and a detailed log is maintained on each room and linen. Rooms are rented to guests in appropriate condition without any prohibited odor. Housekeeping and Front Desk staff are trained and skilled in identifying the odors from prohibited items. If our investigation concludes that you have smoked in your room, or brought a prohibited item into our facility, you will be fined, and evicted without any refund.

Linen Changing

Your comfort is very important to us. For guests staying multiple nights, bed linen is changed on a rotation schedule. Used towels are exchanged for fresh towels daily. Housekeeping will be happy to change your bed linens and make your beds each day if all personal items are removed. Please contact our Front Desk staff if you have any additional questions or concerns.

Illness and Epidemics

To provide our guests with peace of mind, we adhere to any current safety measures and/or Arizona Covid-19 regulations at our inn. When you’re out exploring the area, keep in mind that tribal Lands may have different regulations – please see the individual tribal nations website for more information. If you aren’t feeling well, are concerned that you may have been exposed to COVID-19 or know that you’ve been exposed, we ask that you please visit us another time. We may charge you a room cleaning fee as we deem appropriate under the circumstances.

Lost & Found


Lost & Found Policy

The Bespoke Inn Flagstaff assumes no liability for lost, misplaced, stolen, or damaged valuables or belongings. If you discover that you have left behind something of value to you, please call us immediately (844) 259-7766 and we will try to assist you in locating your lost item.

Found Items

The Bespoke Inn Flagstaff is not responsible for any item left behind by a guest. However, any item, except for perishable items, left behind by our guests and found after departure by Housekeeping will be collected, logged in, and kept in a secure location for collection by the owner for up to fourteen (14) days. Records of Lost & Found items are retained for five years. Reasonable effort will be made to notify the guest that an item has been found. Perishable items, underwear, and miscellaneous toiletries are discarded.

Item Return

We would be happy to return your lost item(s) to you. Your credit card will be charged for packaging and postage. A separate receipt will be mailed to you. The Bespoke Inn Flagstaff is not responsible for any item lost or misdirected during shipment.

Unclaimed Items/No Contact

Lost & Found items are held for fourteen (14) days while we attempt to contact the guest. If guest contact information is incorrect or cell phone mailbox is full and we are unable to contact the guest during the fourteen (14) day holding period, the unclaimed item(s) are thrown away, given to local organizations, or disposed of accordingly.

Guests, Gatherings & Noise


Guests/Venue Fee

Only registered guests of the inn are allowed in the guest rooms and common areas of Bespoke Inn Flagstaff. If you want to show someone your room or have friends or family over, you’re welcome, however, please notify us of any guests who intend to stay over. We value our guest’s privacy and safety above everything else.

Maximum Occupancy per Room

No Exceptions, occupancy maximums include children over the age of 3.  Our King rooms, Paolo & Isabelle, Petite Chambre, Gianni & Donatella, Enzo & Marguerite, Marco & Capri, and Courtyard Flat, are for a maximum two guests. Our double queen room Gabrielle and Pierre and Suites Emilio & Francesca and Olivia & Marcel are for a maximum 4 guest. Our suites; Louis & Clemence and Carriage House are for a maximum 6 guests.  If we find more than the allotted number of guests staying in a room, a $50 fee per person per day will apply.  No more than 2 dogs are allowed in any pet friendly room.  Please review our pet policy and fees before booking.

No In-room Parties

The Bespoke Inn Flagstaff enforces a No In-room Party Policy to ensure we can always protect the hotel and our guests. No parties, loud disturbances and/or noise-nuisance are allowed or tolerated on these premises. In the event of a disturbance, one polite request (warning) will be given to reduce the noise. If our request is not followed, the guest will be asked to leave the hotel without refund. Registered guest(s) is responsible for all persons visiting. You will be ordered to vacate the premises without refund and may be assessed a Guest Compensation Disturbance Fee.

Visitors

Visitors must be always accompanied by the registered guest. As a registered guest, you are responsible for your visitor at all times.

Quiet Hours

Quiet hours are from 10:00 p.m. to 9 a.m. If you become aware of a disruptive guest, please contact the on-call staff immediately by phone. Televisions, voices, or other devices must be always kept at a respectful low level. Doors should be opened and closed quietly.

Guest Compensation Disturbance Fee

Due to the small size of our Inn, if behavior, loud music, noises, and other forms of disturbing other guests is a problem, the registered guest will be charged with fees necessary to compensate other guests of the Inn or of the restaurant located on the property. This includes any guest compensation required to correct the disturbance.

 

Damages


Damage and/or Theft of Hotel Property

You are liable for any damage however caused (whether by the deliberate, negligent, or reckless act) to the room (s), hotel’s premises or property caused by you or any person in your party regardless of if they are staying at the hotel during your stay. The Bespoke Inn Flagstaff reserves the right to retain your credit card and/or debit card details as presented at registration and charge or debit the credit /debit card such amounts as it shall in its sole discretion deem necessary to compensate or make good the cost or expenses incurred or suffered by the Bespoke Inn Flagstaff because of the aforesaid. Should this damage come to light after the guest has departed, we reserve the right and you hereby authorize us to charge your credit or debit card for any damage incurred to your room or the Hotel property during your stay, including and without limitation for all property damage, missing or damaged items, smoking fee, cleaning fee, guest compensation, etc. We will make every effort to rectify any damage internally prior to contracting a specialist to make the repairs, and therefore will make every effort to keep any costs that the guest would incur to a minimum.

Damage Discovered After Check-out

Guest Rooms found with waste strewn around, in complete disorder, and/or “trashed” will be subject to maintenance deep cleaning fee, administration fee and/or third party fees.

Damage to Room

Damage to rooms, fixtures, furnishing and equipment including the removal of electronic equipment, towels, art work, etc. will be charged at 120% of full and new replacement value plus any shipping and handling charges. Any damage to hotel property, whether accidental or willful, is the responsibility of the registered guest for each room. Any costs associated with repairs and/or replacement will be charged to the credit card of the registered guest. In extreme cases, criminal charges will be pursued.

Damage to Mattresses and Bedding

Damage to mattresses and linen including; towels, mattress pads, sheets, bedspreads, blankets resulting from the use of body oils, make-up, shoe-polish, etc. will result in a charge for the special cleaning, repair or replacement of the damaged article.

Damage or Tampering with Fire Detection Systems/Fire-fighting Equipment

Bespoke Inn Flagstaff reserves the right to take action against any guest or visitor found to have tampered or interfered with any detection equipment throughout the hotel, including detector heads in public areas, guest rooms, break glass points and fire extinguishers. Guests or visitors found to have tampered with any fire detection or fire-fighting equipment will be charged with any costs incurred by the hotel due to their actions and will be evicted from the hotel. Depending on the severity of the guest actions, law enforcement may become involved at the hotel’s discretion. Should the fact that firefighting or detection equipment had been tampered with come to light after the guest has departed, we reserve the right and you hereby authorize us to charge your credit or debit card for any damage incurred to your room or the Hotel property during your stay, including and without limitation for all property damage, missing or damaged items, smoking fee, cleaning fee, guest compensation, etc.

Enforcement

All staff are trained and required to respond to potential violations of our Hotel Policy/House Rules. Guests who refuse to abide by the reasonable standards and policies established by The Bespoke Inn Flagstaff for safety of all guests, staff, owners, property, and the operation and management of the hotel will be evicted, with no refund. In addition to the room charge, a minimum $300.00 cleaning fee per room can be charged for infraction(s) of our Hotel Policy/House Rules.
